Stokenchurch Parish Council – Administrator to the Parish Council Clerk
Role objective:
The Administrator to the Parish Council Clerk will provide assistance and support to the Clerk. The Administrator will be responsible and accountable for a set of duties in running the Parish Council Office and Longburrow hall as listed below.
The person appointed will be accountable to the Council for the effective management of its duties and will report to them as and when required. This position will be based in the Longburrow Hall, Stokenchurch Parish Council office.
Duties
- To be responsible for all of the daily administration of the village hall.
- Administration of MUGA bookings.
- Working with the Parish Council RFO and Parish Clerk to help ensure the smooth running of the council’s daily activities.
- Working with the Parish Council RFO to ensure hall booking invoices are generated and payments received.
- Assisting the Parish Council with projects / monitoring /obtaining quotations /grants.
- Responsible for all maintenance, Health and Safety checks, repairs and supervision of contractors employed for repairs.
- Act on their own initiative, working to promote the use of the hall and its facilities.
- Set up and maintain computer records and booking system.
- Control the Parish website and Facebook page daily/weekly updates.
- Take telephone calls, deal with enquiries, emails and act on their contents as appropriate on behalf of the council.
- Show potential users around the hall, explain and discuss the services available and charges and conditions of hire. Issue invoices for room hire and collect payments. Issue hall front door keys for collection/return.
- Review CCTV footage to secure evidence for vandalism or damages to the hall following hall hire.
- Maintain a weekly rota of bookings to ensure the rooms are open for each booking and correct furniture and equipment is available for use by the hirer.
- Maintain hirers Public Liability Insurance Certificates.
- Ensure all timely checks/ assessments and done and certificates are maintained for health and safety and legal compliance, including but limited to the electric safety certificate, PAT testing, Legionella testing, liability insurance.
- Annually review the rules and prices of the hall consulting with the Council.
- Attend meetings as and when required with the Parish Council sub committees.
- Keep running spreadsheet of hall deposits for previous month.
- Inform caretakers of bookings for the week ahead.
