Gerrards Cross Town Council is seeking an organised, friendly, and proactive Administrative Assistant to support the smooth running of the Council office. This part-time role is ideal for someone who enjoys a varied workload, takes pride in attention to detail, and is confident dealing with members of the public.

Working closely with the Clerk and Councillors, you will play an important part in supporting local services, assisting with meetings, maintaining the Council’s communications, and helping deliver community events. Some experience in local government is desirable but not essential for the right candidate.

Job Title: Administrative Assistant

Reports to: Town Clerk (Line Manager)
Working Pattern: Part-time, office-based (Tuesday–Thursday, with some flexibility on days)

All employment-related matters are overseen by the Clerk, the Staffing Committee (on behalf of the Council), and the Chair (or Deputy Chair in their absence).

Role Summary

The Administrative Assistant provides essential support to the Clerk and Town Council to ensure the efficient delivery of Council business and compliance with statutory requirements. The role covers general administration, customer service, meeting support, financial processing, communications and events assistance.

Key Responsibilities

Administrative Support

  • Provide general office support including answering correspondence, photocopying, filing and routine enquiries.
  • Receive, process and monitor enquiries and complaints from residents and Councillors.
  • Obtain quotes for works and services as directed by the Clerk.
  • Assist with collating, verifying and processing invoices.
  • Support preparation of monthly payment schedules.

Meetings & Governance

  • Collate and distribute meeting papers to Councillors and attendees.
  • Prepare agendas and take minutes in the Clerk’s absence.
  • Prepare notices for village notice boards.
  • Upload planning comments and prepare Planning Meeting agendas.

Customer Service & Reception

  • Provide a professional reception and advisory service to visitors.
  • Handle telephone, email and face-to-face enquiries politely and efficiently.

Communications & Media

  • Update the Council website and social media channels as required.
  • Create and upload social media posts as directed.
  • Assist with compiling and publishing the Council newsletter.

Events & Community Engagement

  • Assist with planning, coordination and delivery of Council events and community activities.

General Duties

  • Undertake any other broadly analogous duties commensurate with the role.

Person Specification

Essential Skills & Experience

  • Strong administrative skills with experience handling varied office tasks.
  • Excellent written and verbal communication skills.
  • Ability to prioritise workload, manage time and meet deadlines.
  • Good interpersonal skills with a professional and friendly manner.
  • Competent IT skills, including email, word processing and spreadsheets.
  • Ability to work independently and collaboratively within a small team.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion.

Desirable Skills & Experience

  • Experience working within a Town/Parish Council, Local Authority or similar public sector organisation.
  • Understanding of local government procedures, meeting protocols and governance requirements.
  • Experience preparing agendas and minutes.
  • Familiarity with planning processes or handling planning comments.
  • Experience managing website content or professional social media updates.
  • Experience supporting community events or public engagement.
  • Knowledge of basic financial processes (e.g., invoices, payment schedules).
